The Executive Assistant to the CEO at Indiana ABA Institute is a highly critical role that requires a dynamic, confident and detail-oriented individual. The Executive Assistant will serve as the primary point of contact for both internal and external constituencies; will undertake the tasks of receiving calls, take messages and routing correspondence; will handle requests and queries appropriately, and will have a broad range of duties including, but not limited to, managing calendars, coordinating travel plans, organizing meetings and activities, and assist the CEO in the thorough execution of their responsibilities.
Responsibilities:
Provide full administrative and clerical support to the CEO.
Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.).
Conduct research and prepare briefings.
Organize and maintain the office filing system.
Coordinate and plan meetings, including logistical support, such as venue selection and catering, preparing of materials, and technical support.
Take and transcribe dictation at meetings.
Serve as the CEO’s administrative liaison to Indiana ABA Institute’s board of directors.
Work closely with other team members to assure the CEO’s preparation for meetings, presentations or other engagements.
Qualifications:
Bachelor’s degree or equivalent is preferred.
At least 5 years of work experiences in administrative support or as an Executive Assistant is required.
Proficient in MS Office Suite and Adobe Acrobat.
Excellent organizational skills with an ability to think proactively and prioritize work.
Strong verbal and written communication skills.
Discrete and able to handle highly confidential information.
